Education Requirements

Job Responsibilities

  • Greet Visitors: Welcome visitors, clients, and guests with a friendly and professional demeanor, ensuring they feel comfortable and attended to.
  • Manage Appointments: Schedule and manage appointments for executives, sales teams, and other staff members, ensuring an organized calendar.
  • Visitor Coordination: Notify the relevant employees of visitors’ arrival, ensuring timely reception and a smooth meeting process.
  • Office Tours: Provide tours of the office for visitors, clients, or potential business partners as needed.
  • Answering Phone Calls: Handle incoming phone calls, route them to the appropriate department, and respond to inquiries professionally and efficiently.
  • Message Taking: Take clear messages and ensure they are delivered to the correct person promptly.
  • Email Correspondence: Manage general email inquiries, ensuring timely responses and efficient distribution to the appropriate team members.
  • Office Supplies Management: Keep track of office supplies, ensuring that the front desk and other departments are well-stocked with necessary items.
  • Mail & Deliveries: Receive, sort, and distribute incoming mail and packages. Also, prepare outgoing mail and couriers as required.
  • Filing & Documentation: Maintain organized records and files related to front desk activities and administrative tasks.
  • Client Inquiries: Respond to client inquiries, providing information on company services, properties, and general information as needed.
  • Customer Satisfaction: Ensure that visitors and clients receive excellent service, resolving any concerns or issues quickly and professionally.
  • Support Sales Team: Assist the sales team with client management and scheduling, ensuring smooth coordination between teams.
  • Maintain Office Cleanliness: Ensure that the front desk area is neat, organized, and welcoming at all times.
